1. Who we are
Trackstand is booking and fleet software for UK bike hire centres, bike shops and brands that run demo days.
This website, trackstand.co.uk, is run by Trackstand Ltd, a company registered in England and Wales (company number 17553691). Registered office: 20 Kirkgate, Sherburn in Elmet, Leeds LS25 6BL. We are registered with the Information Commissioner's Office (ICO), registration number ZC291749.
"We", "us" and "our" mean Trackstand Ltd. For privacy questions, email matt@trackstand.co.uk.
2. Who this notice covers
This notice is for anyone who visits trackstand.co.uk, fills in a "Book a demo" or enquiry form here, or contacts us using the details on this site.
It doesn't cover bookings made with a hire centre, shop or brand that uses the Trackstand app. For those, the business you booked with is responsible for your data, so please read their privacy notice.
3. What we collect
Demo and enquiry forms: your name, business name, email, phone (optional), business or project type, number of bikes (optional), preferred contact time, your message, whether you ticked "Send me Trackstand updates" (never pre-ticked), and the page you sent it from. A hidden field helps us block spam bots.
Emails and calls: if you email or call us, we keep your contact details and what you told us so we can reply.
Technical data: our hosting provider processes basic technical data when you visit, such as your IP address, browser type, the page requested and the time, to keep the site running and secure.
We don't take payments on this site, there's no login here, and we don't use analytics or advertising trackers.
4. Why we use it, and our lawful basis

We never sell your personal data.
5. Who we share it with
We only share what's needed to run this site and reply to you:
- Vercel: hosts the website.
- Resend: delivers your form submission to our inbox.
- Google Workspace: our business email, where enquiries are received and stored.
- Professional advisers (accountants, lawyers, insurers) where necessary.
- Authorities, if the law requires it.
6. International transfers
Some of these providers may process data outside the UK, including in the EU and US. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the ICO's International Data Transfer Agreement or UK Addendum. Contact us if you'd like more detail.
7. How long we keep it
- Enquiries and related emails: up to 2 years after our last contact, then deleted, unless we're in an active conversation, have a contract with you, or need it for a legal claim.
- Updates preference: until you opt out, then removed promptly.
- Hosting logs: kept by our hosting provider for a short period for security.
8. Cookies
This site doesn't use analytics or advertising cookies, so there's no cookie banner. If we ever add non-essential cookies, we'll ask for your consent first and update this notice. See our Cookies page for more.
The Trackstand booking app (app.trackstand.co.uk) is a separate service with its own notice.
9. Your rights
Under UK data protection law you can ask to access, correct or delete your data, restrict or object to how we use it (including direct marketing at any time), get a copy in a reusable format, and withdraw consent.
To use any of these rights, email matt@trackstand.co.uk. We'll normally reply within one month.
If you're unhappy, please contact us first. You can also complain to the ICO at ico.org.uk or on 0303 123 1113.
10. Children
This site is for businesses in the bike trade. We don't knowingly collect data from children.
11. Changes
We may update this notice from time to time. We'll post any changes here with a new "last updated" date.
